Attendance Policy

Introduction
Regular attendance, participation in therapy/training, and compliance with home programs are essential for your plan of care. At Encourage Speech and Voice Therapy, PLLC, we understand that life circumstances can change quickly. We respectfully ask that you follow the procedures below if you need to cancel or reschedule a session.

Non-Emergency Cancellations
These include personal events, other appointments, work obligations, and any other foreseeable or non-urgent reason. Please cancel or reschedule at least 24 hours before your session. If you have a non-emergency situation and your session is not cancelled or rescheduled at least 24 hours in advance, you will be charged 50% of the session fee.

Emergency Cancellations
These include sudden illnesses, injuries, accidents, family emergencies, and other unforeseen, urgent circumstances. Please cancel or reschedule by 10 AM on the day of your service. If you have an emergency situation and you do not cancel or reschedule by 10 AM, you may be charged 50% of the session fee at the discretion of the practice.

Contagious Illness
If you have any signs of contagious illness, please cancel or reschedule in-person sessions according to the applicable timeframe above (non-emergency or emergency). Signs include but are not limited to: fever, laryngitis, coughing, runny nose, vomiting, diarrhea, rash, etc.

You may participate in an online session while ill if you feel you are able to. If you do not feel well enough to participate, please cancel or reschedule according to the applicable timeframe above (non-emergency or emergency).

Methods of Cancelling or Rescheduling
If you need to cancel or reschedule a session, please use one of these methods to notify us: patient portal cancellation, patient portal message, email, or voicemail.

Missed Sessions / No-Shows
If you miss a session without cancelling in advance of that session, that is a no-show. Your card on file will be charged 50% of your session fee for a no-show.

Lateness
You must be present and available to start your session at the scheduled appointment time. Your provider will wait up to 10 minutes for you to be available, so that the appointment can begin. If you are up to 10 minutes late for your appointment, we will deduct that time from the allotted session time. If the appointment begins late because you were not present or available, you will still be charged the cost of a complete appointment. If you are more than 10 minutes late for your appointment, we reserve the right to cancel the appointment and consider it a no-show.

Your Responsibilities
It is your responsibility to be aware of your appointments times. You may elect to receive appointment reminders from us. However, you are fully responsible for being present and available at the start of your sessions, regardless of receiving or not receiving appointment reminders.

If you miss, cancel, or arrive late to 3 consecutive sessions, we may suspend your services until scheduling issues can be resolved. You may be asked to pre-pay in full for future sessions.

You may terminate your services at any time for any reason. Please notify us of termination via the patient portal, email, voicemail, or when communicating with us during a session.

Inclement Weather
We want all patients, clients, and staff to be safe in the event of inclement weather. You will be contacted prior to your appointment if your session needs to be rescheduled.

Staff Cancellations
If your provider is not able to attend your session, you will be contacted as soon as possible.
